Why most IT companies won’t give you a number
Call five MSPs and ask “what does it cost?” and you’ll hear five versions of “it depends — let’s schedule a call.” Some of that is legitimate: user count, servers, and compliance genuinely change the price. But a lot of it is sales strategy — anchor you on value first, reveal price last.
Here’s the thing: “it depends” has a structure, and once you understand it, you can budget before you ever take a sales call.
The five factors that set your price
1. User count. Nearly every modern MSP prices per user per month. A user is a person, not a device — one employee with a laptop, phone, and desktop is still one user on most plans. More users lower the per-user rate at typical break points around 20, 50, and 100 seats.
2. What’s included. This is the big one. A bare “we monitor and patch” plan and a plan that includes helpdesk support, a full security stack, backup management, and a virtual CIO can differ by 3x. When comparing quotes, make vendors list what’s in — the cheap quote usually gets expensive in the gaps.
3. Security depth. Basic antivirus is nearly free and nearly useless against modern attacks. Managed detection and response (MDR), identity protection, a SOC watching around the clock — real security adds real cost, but it’s also the layer that keeps a bad Tuesday from becoming a closed business. Cyber-insurance carriers increasingly require it anyway.
4. Servers and complexity. Cloud-only businesses (everything in Microsoft 365) are cheaper to support than businesses running on-premises servers, specialty line-of-business software, or multiple locations.
5. Compliance. HIPAA, CMMC, FTC Safeguards, or an insurer’s security questionnaire add documentation, controls, and sometimes dedicated leadership (a vCISO). Budget accordingly if you’re in healthcare, legal, financial services, or government contracting.
Typical NC price shapes in 2026
Rather than one number, think in tiers — most NC providers’ offers fall into a shape like this:
A security-only package (protection stack without helpdesk) is the cheapest entry into professional-grade IT — often the right first step for businesses with some internal tech capability. A core managed plan (security plus business-hours helpdesk) is the most common choice for growing businesses. A fully managed plan (adds backup management and proactive monitoring) suits businesses where downtime directly costs revenue. A complete outsourced IT department (adds 24/7 coverage, vCIO strategy, vCISO security leadership) replaces what would otherwise be $150k+ in internal hires.
The questions that expose a bad quote
Before you sign anything, ask: What’s your first-response time — and is it a target or a contractual SLA? What are the helpdesk hours, and is anything billed per ticket? What security is included versus extra? Who owns our documentation and passwords if we leave? What are onboarding fees, and what does offboarding cost?
That last one matters most. A provider confident in their service makes leaving easy. A provider who makes leaving painful is telling you how they plan to keep you.
